Privacy Notice


Educare Small School will ask you for certain information about your child and/or yourself as a parent, carer or staff member at enrolment, when you join the staff team and during your time with us.

Thecategories of information that we collect, hold and share are:

Personal data:

name, address, email address, mobile phone numbers, attendance figures, assessments, Special Educational Needs records, Safeguarding and Child Protection records, permission slips for First aid, Forest School, photos, outside visits

Sensitive personal data:

ethnicity, language, religion, medical[ emergency numbers, Doctor name and contact, dietary, accidents, medicines] online bank details, proof of identity[passport numbers, birth certificates], assessments, Special Educational Needs records, Safeguarding and Child Protection records, NI numbers

We collect and use this information:

  • To support pupil learning

  • To monitor and report on pupil’s progress.

  • To provide appropriate pastoral care

  • To assess the quality of our services

  • To comply with the law regarding data sharing

  • To keep children safe

  • To comply with employment rights

The lawful basis on which we use this information:

We collect and use information for consent and legal obligation purposes. You have a right to complain to the ICO if you think there is a problem about the way we are handling your own or your child’s data.

Collecting information

Whilst some of the information you provide to us is mandatory, some of it is provided to us on a voluntary basis to assist us in managing and supporting your child or managing your employment. We will inform you when information is mandatory.

Storing pupil data

We hold pupil data securely whilst your child is enrolled in the school. When your child leaves, certain information [assessments, copies of reports, SEN and Safeguarding Information] is passed on to the next school. Data which is not applicable to the next school will be given to you as parent or carer or destroyed in due course. All online information [Facebook membership, class email address lists] is deleted immediately.

Storing staff data

Staff information is stored securely in school and returned or destroyed when the staff member leaves the school.

Sharing pupil information

We share information with:

  • The next school your child attends - transition periods

  • Our local authority- census, attendance data, Early Years Funding

  • The Department for Education school census, early years census

We do not share non-mandatory information without obtaining consent.

Sharing staff information

We share mandatory information with:

  • The Payroll and Pension Companies

  • The Local Authority

We do not share non-mandatory information without obtaining consent.

Requesting access to your child’s or your own personal data

You have the right to request access to information that we hold about your child or yourself. To make a request for access personal information or to discuss anything in this privacy notice, please contact the Head Teacher/ Data Protection Officer: Elizabeth Steinthal or the Chair of the Trustees through the school office.
